What your website does
Live availability search
Customers pick pickup and return times and see exactly which models are free — with the price for that window, not a 'from' price. Hourly, daily, weekly and monthly rates, weekend and season pricing, all with the fair-total rule (26 hours never costs more than 2 days).
Licence upload & verification
After booking, the customer photographs their driving licence and ID from their phone. Files are encrypted; only you see them. You approve once — repeat renters skip it next time. Chauffeur bookings never need it.
Handover & return records
At pickup you record photos, odometer and fuel in 30 seconds; at return the same — late-return and extra-km charges are computed from that booking's own terms and shown to you to confirm or waive. Every deposit question is settled by the record.
Deposits to the rupee
Collect the security deposit at pickup (or online, your choice). At settlement, charges are adjusted against it and the refund due is shown — you pay it back by UPI or cash and mark it done. Deposits are never taxed and never charged a platform fee.
Extensions & overdue alerts
Customers extend from their booking page — availability-checked, paid online. A vehicle past its return time turns red on your Today board with call, WhatsApp and GPS-link buttons.
My Rentals
Customers sign in with their mobile number and a one-time code to see every rental on that number — pay a balance, upload documents, extend, or cancel with your refund rules applied automatically. A booking code + mobile still opens a single booking on a shared phone.
Setting up your fleet
Open Rental Desk → Fleet & pricing. Your new site opens with a sample fleet of real Indian models so you can see how everything looks — edit them into your vehicles or remove them.
- A model is what customers see (Honda Activa 6G): photos, rate card, km allowance and extra-km rate, deposit, fuel policy, add-ons (extra helmet, phone mount), who can rent it (minimum age, licence class), and whether it comes with a driver.
- A vehicle is one registration number under a model — its branch, odometer, RC/insurance/PUC photos with expiry dates (you get a reminder a week before), a service log, your GPS tracker's live-share link, and maintenance blocks that take it off the calendar.
- Availability counts active vehicles only. A model with no registration numbers can't be booked.
- Branches live in Rental Desk → Settings. With one branch your site has no separate Locations page — customers see your address in the footer and on Contact. Add a second active branch and the Locations page, the header link and the branch picker in the search box appear on the next Update Website.
Mark a model "I approve each request first" for superbikes or premium cars — reserve-now bookings then wait for your OK while scooters confirm instantly.
Header bar colour
In the website editor, open Site Settings → Header & Cards → Header bar colour. Light is the design's white bar; Dark paints the asphalt bar — the right pick when your logo sits on a black tile; Action colour gives an amber bar; Custom colour uses any colour you pick below it. Text, menu links, the phone button and the icons re-colour on their own so they stay readable on whatever you choose — nothing else to set.
How customers pay
In Rental Desk → Settings you choose any mix of: pay the full amount online, pay an advance (a percent or a fixed amount — the no-show killer), or reserve now and pay at pickup. Online options need a payment gateway connected in your Payments settings; reserve-now always works. The security deposit is collected at pickup by default — switch on "Collect the security deposit online with the advance" to take it with the advance instead.
Booking is mobile-first, the way the big rental apps work: the customer picks dates and extras, sees the live fare, confirms their mobile number with a one-time code, then adds their name (and an optional email) and chooses how to pay. Mobile OTP is on by default and strongly recommended — it stops fake bookings, and a verified customer skips the code on their next visit.
No gateway? UPI still works. Switch on "Accept UPI payments with a screenshot (you confirm each one)" in the same place, and — as long as your Payments settings hold a UPI ID — the booking page shows your UPI QR and an "I've paid — upload the screenshot" button. The booking waits under Needs action until you open it, see the screenshot beside the amount, and tap Received ₹… — confirm (or Not received, with a reason the customer sees as “not found in our account”, and they can pay again). Nothing is confirmed until you tap — the money never passes through LentloSites.
Running the day
The Desk has seven tabs: Today, Bookings, Fleet & pricing, Calendar (every unit as a timeline, with maintenance blocks), KYC, Reports (money taken, utilisation per model, extra-charge income, deposits) and Settings.
- Today — pickups due (with the document status that decides whether the keys can go), returns due, overdue vehicles in red, free vehicles right now, and the cash to collect today.
- Handover — open the booking, tap Hand over the keys: collect the balance and deposit, verify the pickup code from the customer's booking page, take the condition photos, enter odometer and fuel, done. If documents aren't approved yet you'll be stopped — review them first, or override after checking the physical licence (recorded).
- Return — photos, odometer, fuel. Suggested late and extra-km lines appear from the booking's own terms; tick to add them. Then Settle & close: charges minus deposit = refund due or amount still owed, invoice the extra charges if you need to, and close.
- Walk-in booking — the + Walk-in booking button records a phone or counter customer against the same live fleet, priced by the same engine, skipping online cut-offs. Tick "I've seen the original licence" to skip the upload.
- KYC — the review queue: view each document, approve, reject with a note the customer sees, or block a renter (they get a neutral message online).
- Rental agreement — every booking has a printable agreement (vehicle, dates, km and fuel terms, charges, deposit, your clauses, signature lines) at Print the rental agreement in the booking; the customer gets the same page from their booking link. Print two, sign, done.
- GPS — paste each vehicle's tracker live-share link in Fleet; it appears on overdue rows and inside the open booking while the vehicle is out. Only you see it.
- Your CRM — pair your fleet with the CRM's vehicle records by number plate (CRM → Vehicles → Website stock → Rental fleet). A paired vehicle shows In your CRM in Fleet with the insurance and PUC dates the CRM keeps (its reminders run there), every handover adds a Rented entry to that vehicle's history, and your renters reach your CRM like your other website customers once a booking is confirmed.
Out of vehicles, or closed for a festival? Rental Desk → Settings → Taking bookings pauses online bookings with a notice customers see, and an optional auto-resume date. Walk-in bookings you enter yourself still work.
Cancellations & refunds
Your refund rules (for example "100% until 72 hours before, 75% until 24 hours, 50% until 6 hours, nothing after") are locked into every booking at the time it's made — changing them later never changes old bookings. When a customer cancels, the refund is calculated and shown; you send it (UPI/cash) and mark it paid. When you cancel, the full paid amount is refunded unless you set a different figure.
Coupons & GST invoices
Coupons from your Coupons page work on rental bookings (percent or fixed discounts). Every confirmed booking gets a GST invoice automatically from your business's GST settings — deposits are never on it. Extra charges (late, km, damage, challan) are invoiced only when you tap Invoice the extra charges.
What it costs
Rental websites are on the same plan ladder as e-commerce stores. On the Free plan the platform takes 2.5% of each confirmed online booking from your Lentlo Credits — 1.2% on Starter, and 0% on Pro and above. It is charged on the booking value excluding GST, and the refundable deposit never counts towards it. A cancelled booking refunds the fee automatically. Bookings you enter yourself, deposits and charges you collect by hand are never charged, and an agency’s client never pays it. Current rates are on the Billing page.
