In this guide

When you sell in your own name, you buy from your supplier: money you add is held by your supplier for your orders. This guide is the balance — what the three numbers mean, how to add money, what happens when your supplier lets you pay after each order, orders you collected yourself, and the supplier's side of it.

Where it is

  • Reseller: Store console → Money → Balance with supplier (on the dashboard and in your supplier's portal; you see it when you own the business or hold its finance role). Your Overview's Today card shows the balance in one line.
  • Supplier: Supplier console → Resellers → Balances, and Orders → Reports → Sales by reseller.

What the balance is

Money you add is paid to your supplier, who keeps it for your orders. It is used only for what you buy from them.

  • Available for orders — what can still be used.
  • Kept for orders — set aside for orders already started or confirmed and not yet billed.
  • Balance — everything you have with your supplier.

When your supplier works this way (most do), your store takes an order only when your balance covers what you will owe for it: the money is set aside the moment the shopper starts to pay. If it does not cover the order, the shopper sees “This store cannot take orders right now” and you get a line on Today with the amount to add.

A ₹2,000 top-up and one order

You add
₹2,000
A shopper orders a kurta — the supplier's price with delivery, set aside at once
₹640
Available for orders
₹1,360
Kept for orders ₹640 until the supplier bills the order; Balance stays ₹2,000

Adding money

1

Type the amount

Under Add money, type the amount (your supplier sets the lowest and highest) and choose Pay online or UPI transfer, then Continue to pay.
2

Pay online

Opens the payment window of your supplier's payment account. The balance updates when the payment is confirmed.
3

Or UPI transfer

A request appears under Money you asked to add with your supplier's UPI ID. Send the money, type the reference number your UPI app shows (usually 12 digits; 8 to 22 letters and digits are accepted) and press I have paid. It is added when your supplier confirms it. A request nobody paid closes after 48 hours.

When your supplier lets you pay after each order

Each order waits for your payment until the time shown under Orders waiting for your payment to the supplier. Press Pay supplier now, or set Use my balance automatically for my orders (up to an amount per order; only the owner can change it). An order nobody paid for in time is cancelled and the shopper is refunded. Your Overview shows a red line when an order is due within 2 hours, and the Today card counts the orders waiting for your payment.

Orders you collected yourself (for example on WhatsApp)

Orders → New order for a customer → I have collected the money myself. Type your customer's name, mobile and address and the items; What I charged my customer is optional and only for your margin. Your supplier bills you and sends the parcel to your customer; what you owe is taken from your balance at once — if it is not enough, nothing is created and you are told how much to add. Your customer gets no e-mail from the store about it. The supplier's bill to you names where the parcel went — for example “Deliver to: Ravi Kumar, House 12, Civil Lines, Raipur, 492001, Chhattisgarh (State code 22)”.

History and margins

History lists every movement of your balance with the balance after it. Margin per order shows what your customer paid, less what you pay your supplier for the goods and the delivery (before tax if you are GST registered, with tax if not). It is a record of the order as placed — returns are not taken off.

For the supplier: Balances

  • Money resellers say they sent by UPI — check your bank or UPI app, then press Received or Not received (say what you found). These also wait on your Today under UPI payments to confirm.
  • Balances you hold for resellers — per reseller: balance, kept for orders, available; On hold when the reseller's bank questioned a payment into it (nothing new is set aside, nothing can be given back until it is settled).
  • Give back returns unused money (never what is kept for orders) through the payment account it came in by, oldest payment first. The owner only, with a one-time code sent to his own number. Money that came in by UPI cannot be given back from here yet: the sheet says how much can go back here before any code is sent; pay the rest by your own bank transfer.
  • Money that arrived without an order to pay and Your latest bills to resellers.
  • Sales by reseller (Reports): confirmed orders per reseller and the goods billed, for a period, with Download as spreadsheet.

Example · Arjun, Nagpur — sells his supplier's steel bottles in his own name

Arjun adds ₹5,000 by UPI, types the 12-digit reference and presses I have paid; his supplier confirms it that night. His store takes orders until the available money runs low; the Today card says “Balance with your supplier: ₹410”, so he adds more before the weekend.
We never hold this money. Online top-ups go to your supplier's own payment account; UPI goes straight to your supplier, who confirms what arrived.
