- You buy itAnd turn it into a listing in one step
Listing your stock
A dealership dashboard speaks your language: your sidebar reads Cars (the stock), Car Orders (bookings and payments), Test Drives (test-drive requests) and Car Leads (people selling you a car).
Add each car
Open Cars → add a car: make, model, variant, year, kilometres, fuel, transmission, owners and price. These are exactly the filters a buyer uses, so fill every one — a blank field removes the car from that filter. Leave Cars available at 1 unless the listing really is several identical units.
Photos that sell
Front three-quarter, rear three-quarter, both sides, interior front and back, odometer, engine bay. Eight honest photos beat twenty artistic ones.
Fill in the inspection
The inspection report is the single biggest trust builder in used cars. Record what you actually checked — including what is not perfect. A report with one honest flaw is worth more than a spotless one nobody believes.
Mark it sold when it goes
A sold car that stays listed wastes your phone calls and annoys buyers. Marking it sold also keeps the numbers on your dashboard honest.
The /sell wizard
Share yoursite.com/sell anywhere a seller might see it — your board, an OLX reply, a WhatsApp status. It walks them through the details you would otherwise extract over three phone calls, and verifies their number with an OTP before submitting.
You get the make, model, year, kilometres, condition and photos beforethe first call. That changes the conversation from “what have you got?” to a price discussion.
Example · A dealer in Nashik
He put the /sell QR on his showroom board and in his WhatsApp status. Sellers now arrive as a filled form with photos, so he can say no to the ones he does not want without wasting a visit — and quote confidently on the ones he does.
Working the lead pipeline
Car Leads is the seller side: every /sell request with a verified phone number, in its own pipeline — New → Contacted → Inspection scheduled → Inspected → Offer made → Offer accepted → Car bought → Listed for buyers → Sold (or Not proceeding). Filter chips at the top show how many sit at each stage. The seller sees the same status on your /sell page when they sign in with their number, so you spend less time answering “any update?”.
On the lead, Car & listing opens the panel where you add your own photos, your selling price and the inspection report, then tap Make available for buyers. After that the same panel offers Update listing, Mark as sold, Take off sale and View listing— and the seller's timeline follows each one.
When you buy a car from a seller lead, turn it into a listing rather than typing it again. The details and photos carry across, and the two records stay connected — so you always know what you paid for the car you are selling.
What actually sells a used car online
Do this
- Real photos of the actual car, taken today
- The odometer photo — buyers look for it and get suspicious when it is missing
- Honest inspection notes, including the scratches
- Service history and number of owners stated plainly
- A price on the listing
Not this
- Stock manufacturer photos of the model
- 'Price on call' — most buyers simply move on
- Hiding accident history; it surfaces at inspection and kills the deal
- Leaving sold cars listed to make the stock look bigger
Your dealer office in the CRM
The website sells the car; the CRM runs everything after the booking. Pick the Vehicle Dealer / Auto Mall business type in CRM → Business type & features and you get a desk for each department — Finance (loans), Insurance, RTO and Workshop — plus Vehicles and Banks, agents & partners.
- Vehicle bookedA loan file opens
- Loan disbursedOpen the RTO file and the insurance file
- RTO doneOpen a job card for the pre-delivery check
- DeliveredEvery file stays on the customer
Each desk lists its files with the status, the days pending and a Medium · High · Critical switch, so the files stuck longest are one tap away. Files you enter late get their real Started on date, so their days tell the truth, and each desk's Auto-assign & priority sets who gets new files — and the follow-ups when a file waits too long. A vehicle is kept once in Vehicles — its registration, insurance, PUC and fitness dates, and every file it is on — and each file points at it. On a file, the Vehicle section shows the vehicle record and, only when they differ, what was typed on this file. A file on the wrong vehicle is moved with Change vehicle— only that file moves; a vehicle's own registration number is changed only on the Vehicles page. Banks, NBFCs, financers, agents, referral partners and RTO file types are picked from one list, and a name that looks like one you already have asks before it is added again. The RTO file type (RC transfer, new registration, NOC, hypothecation…) decides the file's documents and status words. A loan file opened by the workflow from a vehicle deal starts without a vehicle — add the vehicle on the loan file, and the RTO and insurance files carry it along.
Once a loan is approved or disbursed, the loan file shows Open the RTO file— the new file takes the customer, the vehicle, the people and the lender as its hypothecation bank. The details — documents per person, the loan's seller papers, the hypothecation bank on an RTO file, the priority bands and automatic follow-ups — are in CRM operations. Your website's cars also show inside the CRM: Vehicles → Website stock.
Follow-ups & tasksgroups your follow-ups by desk — Finance, Insurance, RTO, Workshop, Sales, Accounts — and a dealer's book makes them by itself: a nudge when a file has sat 7 days in one step (3 days in Documents pending), a service call 6 months after a vehicle's last service, and calls to renew 30 and 7 days before its insurance expires, and one reminder 15 days before road tax, fitness, PUC or a permit runs out (7, 30 or 45 days under Rules → Vehicle papers; insurance keeps its 15); a call-back due N hours after every new enquiry (made the moment the enquiry arrives, reminding at the due time) is your new-enquiry automation, shown as one more rule. The first morning also covers files that crossed the line in the last two weeks. Change any of them under Rules on that page.
Common questions
Can buyers pay online?
You can take a booking amount through your normal payment methods; the balance is handled the way you already do it. Nobody buys a car in one online click. Paid bookings land in Car Orderswith the money, the invoice and the buyer's details.
How the booking works:"Book This Car" charges only your booking advance — never the car's full price. The amount lives in the website editor under Site Settings → Product Page Settings → Booking Amount, and that box is typed in paise: 1000000 means ₹10,000, which is also the starting value. The advance is worked out on our side from that saved number, so a wrong price can never reach the payment screen. Every car counts as one unit("Cars available" = 1), so the moment a buyer books it the car shows as sold and nobody else can book it; cancelling that order puts it back.
Book Test Drive is not a payment — it opens your Book Test Drive page and the request lands under Test Drives, where you confirm or cancel it and the buyer sees the status on Track Booking. The figure printed on that button is the note you type in Test Drive Deposit; what a visitor actually pays, if anything, is the advance you set on the booking service. See Appointments & bookings.
Can I run finance or insurance through this?
Yes, as files rather than payments — each department has its own desk in the CRM, and a disbursed loan opens the RTO and insurance files for the same customer and vehicle. The loan money itself stays between the customer and the bank. See CRM operations.
Do I need photos to publish a car?
Technically no, practically yes. A listing with no photos gets almost no enquiries.
Can my staff add cars without seeing my purchase prices?
Yes — cost and profit are behind their own permission. See Team & staff.
